Privacy Policy

1. Information we collect

• Account data — name, email, password hash, workspace and role.
• Content you create — leads, projects, proposals, selections, mood boards, and documents you upload or generate.
• Integration data — when you connect a third-party account (below), we access the data you authorize and store OAuth tokens encrypted at rest.
• Usage & device data — log data, IP address, and basic analytics needed to operate and secure the Service.

2. Third-party services & sub-processors

The Service integrates with the following providers. We access only the data you authorize, and only to provide the features you enable:

• Intuit QuickBooks — accounting data (customers, estimates, invoices, payments, expenses) to reconcile project financials. Read/write scoped to the QuickBooks Accounting API.
• Google — sign-in and, where authorized, Google account profile.
• Stripe — subscription billing and payment processing. We do not store full card numbers.
• Dropbox — files, folders, and file metadata in the folders you link, and shared links you create.
• Canva and Pinterest — design assets and inspiration boards you import.
• Asana and Basecamp — project and task data you sync.
• Plaud and Letterly — call recordings, transcripts, and summaries you capture.
• OpenAI — powers AI features (drafting, enrichment, summaries). Content you submit to these features is processed by OpenAI to generate a response.
• BatchData — property and owner-contact enrichment when you enrich a lead.

3. How we use information

To provide, maintain, and improve the Service; authenticate you; process payments; power AI and integration features you enable; communicate with you; and comply with legal obligations. We do not sell your personal information.

4. How we share information

We share data only with the sub-processors listed above to deliver the features you use, with service providers who host and secure our infrastructure, and where required by law. Data you choose to share via client or contractor portals is visible to the recipients you grant access to.

5. Data retention & security

We retain data for as long as your account is active or as needed to provide the Service. OAuth tokens and webhook secrets are encrypted at rest using AES-GCM. We apply industry-standard safeguards, though no method of transmission or storage is fully secure.

6. Your rights

Depending on your location, you may request access to, correction of, or deletion of your personal data, and you may disconnect any integration at any time from the Integrations page. To exercise these rights, contact us below.

7. Intuit / QuickBooks data

When you connect QuickBooks, we access your QuickBooks company data solely to sync customers and documents and to compute project financials within DesignOps AI. You can revoke access at any time from QuickBooks (My Apps) or from our Integrations page, after which we stop accessing your QuickBooks data.

8. Changes to this policy

We may update this policy from time to time. Material changes will be posted here with a revised “Last updated” date.
